Personal Assistant to the Secretary 20170718

The HSU NSW ACT QLD covers over 34,000 health and aged care workers across NSW, ACT, QLD in the public, private and not-for-profit sectors.

The successful applicant will demonstrate the following:

  • The ability to organise, prioritise and perform multiple tasks concurrently
  • high level of communication skills, both written and oral
  • the ability to perform administrative assignments with a high degree of accuracy, under minimal supervision
  • Proficiency with a range of computer software programs including, Word, Excel, Acrobat and Outlook.  Experience with MailChip and document sharing programs e.g. DropBox or Google Docs will be an advantage.

Job tasks and responsibilities

If successful you will assist the Secretary with the following duties:

  • Outlook diary and email management
  • Dictation and typing of emails and letters, assisting with Human Resources
  • Minute taking
  • Organising monthly and quarterly meetings
  • Document filing, electronic and historical
  • Preparing documents and the distribution of Committee papers to Union, Branch and Council members
  • Travel bookings; Update and maintain a travel portal
  • Monthly travel reconciliations
  • Monthly Expense Reconciliations
  • Maintain the Teleconference facility
  • Organising luncheon's and the preparation for meetings
