Receptionist/Office Coordinator

Unions NSW is looking for a Full Time Receptionist /Office Coordinator to join our Administrative team.

The Receptionist position is a pivotal member of the organisation as the first point of contact for anyone visiting the office or contacting the organisation. Therefore, applicants must be well-presented and have a pleasant demeanour.

This position will coordinate front-desk activities and includes offering administrative support across the organisation.

Responsibilities:

  • Greet and welcome guests with a positive, helpful attitude as soon as they arrive at the office
  • Assist the guest to the appropriate person, office or meeting rooms
  • Answer, screen and forward incoming phone calls to appropriate persons
  • Ensure reception area is tidy and presentable
  • Receive, sort and distribute daily mail/deliveries
  • Manage and maintain all room bookings, coordinating with the guest, IT, Finance and Building Management where necessary
  • Update and maintain the building notice boards daily room bookings
  • Ensure all meeting rooms are kept tidy, presentable and with all necessary equipment/information
  • Prepare meeting rooms for upcoming meetings where necessary
  • Organise coffees and catering as required
  • Organise and maintain kitchen duty roster
  • Ordering office supplies and keep inventory of stock, such as stationery, kitchen supplies and amenities
  • Ordering, storing and keeping an inventory of catering supplies including alcohol, other drinks, cups, plates, serviettes etc.
  • Collect and distribute mail
  • Coordinate events as necessary, including supervision of set-up of tables/catering
  • Assist with administrative work overflows in relation to general office administration such as photo-copying, data entry and word-processing

Essential Criteria:

  • Proven work experience as a Receptionist, Front Office Representative or similar role
  • Proficiency in Microsoft Office Suite
  • Hands-on experience with office equipment (e.g. fax machines and printers)
  • Professional attitude and appearance
  • Solid written and verbal communication skills
  • Ability to be resourceful and proactive when issues arise
  • Excellent organisational skills
  • Multitasking and time-management skills, with the ability to prioritise tasks
  • Excellent Customer service
  • High School Certificate; additional certification in Office Management is a plus

Conditions and Entitlements

  • Personal Leave: 10 days per annum (accumulative)
  • Annual Leave: 5 week's annual leave with 17.5% leave loading
  • Long Service Leave: 2 months after 10 years’ service
  • Superannuation: 9.5% employer contributions 11.5% for female staff.
  • Paid Parental Leave: 52 weeks leave including 22 weeks paid parental leave or 3 weeks paid parental leave non-primary carer
