We represent mainly Commonwealth Government public sector employees, with members in ACT and NT Government, telecommunications, broadcasting (ABC, SBS & private sector) and other private sector employees. Major Commonwealth agencies include Human Services- Centrelink, Medicare and Child Support, Immigration and Border Protection, Defence, Tax, CSIRO and the ABC.

We are seeking an experienced, positive and professional Executive Assistant to provide executive support to the National Secretary of the CPSU. Reporting directly to the National Secretary and in their absence, the Director of Governance and Operations, this dynamic role will see you supporting a high profile union leader in running a large and fast-paced organisation. The successful candidate will also work closely with the Director of Governance and Operations in establishing and improving systems for managing multiple workflows and coordinating work. You will work as part of a team of professional staff, including travel, finance and specialist staff.

About the CPSU

Trade unions are representative, membership based organisations with a leadership elected by union members. Our National Secretary (NS) undertakes a role which combines elements of a chairperson of a board and CEO, with a range of governance obligations under the union’s Rules and relevant legislation.

The National Secretary, with the assistance of the Assistant National Secretary leads an Executive Committee of seven full-time officials, who act as the board of the organisation, reporting to our Governing Council of elected delegates.

The Executive Committee work closely with elected volunteer union delegates who represent members in their employer or agency. This work is supported by a National Secretariat with specialist units and teams including Organising, Industrial, Legal, Political, Member Services, Development, Finance and ICT.

The Executive Assistant works closely with the National Secretary and the Director of Governance and Operations (DGO). The Director of Governance and Operations coordinates various operational matters for the National Secretary and the Assistant National Secretary. 



Position Title:             Executive Assistant to the National Secretary

Level:                           Organising Support Specialist Level 1 $77,018 or Level 2 $80,761 (fixed pay point, depending on skills and experience) per annum plus 15.4% superannuation

Position report to:      National Secretary and Director of Governance and Operations

Positions reporting to this position are:   None

Location:                      Sydney

The Executive Assistant is responsible for the provision of high level support to the National Secretary. The position will require you to undertake specified work and projects and manage functions on behalf of the National Secretary. The Executive Assistant is a key contact for the CPSU leadership team including Executive Committee (EC) members, Directors, senior staff and internal and external stakeholders of the union.

The primary requirements of the Executive Assistant are;

  1. Work effectively to meet the requirements of the National Secretary.
  2. Manage internal and external relationships professionally.
  3. Apply discretion and sound judgement at all times.
  4. Provide quality outcomes in a timely and consistent manner.

Key tasks required of the Executive Assistant are;

  1. Schedule, diary and travel management for the National Secretary and CPSU key events.
  2. Plan and coordinate administration of the Executive Committee, Governing Council, and other meetings, conferences and events as required, including tracking tasks, work flows and reporting with EC, Directors and senior staff.
  3. Coordinate and track task completion with relevant Executive members, Directors and other staff on projects, correspondence, legal requirements and engagement with external organisations.
  4. Prepare various statistical reports and analysis, correspondence, reports and briefing notes as required.
  5. Work closely with the DGO to anticipate resource and support needs of the National Secretariat unit in times of peak activity.
  6. Liaise with external organisations such as ACTU, Ministers, political offices, other unions, employers, conference organisers, and various boards the National Secretary sits on regarding meetings, correspondence and tasks.
  7. Work with CPSU stakeholders including Executive members, Regional Secretaries, Directors and CPSU SPSF (State Public Services Federation) officials and senior staff.

The Executive Assistant works closely with the National Secretary, and with the Assistant National Secretary, National President and other EC members and Directors as required.


Selection Criteria - required skills, knowledge and ability

  1. Significant experience as an Executive Assistant or similar role, in a busy, fast paced organisation.
  2. High level capacity to prioritise work and manage multiple tasks and demands, sometimes under pressure or with limited supervision. 
  3. Capacity to develop (and work to) office and workflow management systems and capacity in diary, correspondence and email management.
  4. Demonstrated capacity to exercise confidentiality, discretion and manage sensitive information, with highly developed relationship management skills.
  5. Capacity to use technology including Word, Excel and Outlook to a high standard, with good written and verbal communication skills. Experience with reporting and analysis, project management or CRM systems is an advantage.
  6. An interest in the work of unions and a commitment to union values is desirable.

Occasional interstate travel for Executive Committee and Governing Council meetings is required, including out of hours work at these peak times.
