Receptionist / Administrative Assistant

Overview of position


United Voice NSW Branch is a union of workers organising to win better jobs, stronger communities, a fairer society and a sustainable future. The NSW Branch represents workers in a range of industries including Early Childhood Education and Care, Cleaning, Home Care, Hospitality and Gaming, Security and Manufacturing.


As the Receptionist / Administrative Assistant you will be the first point of contact for members and guests and be responsible for the day to day running of reception. Under the guidance of the Senior Administrator you will provide support to the Administration Team on clerical tasks as well as facets of office management.




  • Provide a high level of client service to callers over the telephone and in person at reception;

  • Ensure that callers are put into contact with correct official or staff member or given options about how to contact this person if they are not available;

  • Apply knowledge of the union’s function, personnel and structure to direct members, visitors and callers to the correct person;

  • Ensures that messages, including faxes, are relayed correctly and urgently as appropriate;

  • Data entry, typing, formatting, scanning, collating of documents into the document management system;

  • Receive and distribute mail, emails and faxes. Prepare mail lodgement forms and arrange couriers for dispatch of urgent items;

  • Assist with travel bookings and accommodation as required;

  • Undertake lifting and moving of office furniture and equipment as required;

  • Other duties as requested.

Selection criteria - Required skills, knowledge and abilities


  • Organisational skills – well organised, and capable of working within structured office systems. Able to use time management skills to prioritise tasks.

  • Communication skills – capable of effectively greeting and receiving visitors and callers and responding to general enquiries. Good at member interaction and a professional attitude.

  • Office technology – strong skills in Microsoft Office Word, Excel, and Outlook.

  • Ability to take direction.

  • Values – a commitment to United Voice values and a desire to work for a social justice oriented organisation.
