Unions NSW Office Coordinator

Unions NSW is looking for a full time Office Coordinator to join our Administrative team.

Unions NSW is the peak council of trade unions in NSW representing over 600,000 members and 60 affiliated unions and trades and labor councils and is part of the broader trade union movement.

The Office Coordinator position is a pivotal member of the organisation as the first point of contact for anyone visiting the office or contacting the organisation. Therefore, applicants must be well-presented and have a pleasant demeanour. This position will also ensure the smooth operation of the Unions NSW office for staff and visitors.

Responsibilities: 

  • Front desk reception duties; greet and welcome guests with a positive, helpful attitude as soon as they arrive at the office, assisting the guest to the appropriate person, office or meeting rooms
  • Answer, screen and forward incoming phone calls and emails to the appropriate staff member
  • Manage and maintain all room bookings, coordinating with the guest, IT, Finance and Building Management where necessary
  • Update and maintain the building notice boards with daily room bookings
  • Ensure all meeting rooms are kept tidy, presentable and with all necessary equipment/information is available to room hirers
  • Prepare meeting rooms for upcoming meetings where necessary
  • Organise coffees and catering as required
  • Coordinate events as necessary, including supervision of set-up of tables/catering
  • Receive, sort and distribute daily mail/deliveries
  • Organise and maintain kitchen duty roster
  • Order office supplies and keep inventory of stock, such as stationery, kitchen supplies, amenities and catering supplies
  • Assist with administrative work overflows in relation to general office administration such as photocopying, data entry and word-processing
  • Ensure reception area is tidy and presentable

Essential Criteria: 

  • Demonstrated work experience and relevant qualifications as a Receptionist, Front Office Representative or similar administrative role
  • Proficiency in Microsoft Office Suite and database management
  • Demonstrated experience operating and problem solving with office equipment (e.g. printers)
  • Professional attitude and appearance
  • Higher level written and verbal communication skills
  • Demonstrated ability to problem solve and manage people in pressure situations
  • Excellent organisational and planning skills
  • Demonstrated ability to multitasking and time-management skills, with the ability to prioritise tasks
  • Excellent customer service skills

 Conditions and Entitlements: 

  • Personal Leave: 10 days per annum (accumulative)
  • Annual Leave: 5 weeks annual leave with 17.5% leave loading
  • Long Service Leave: 2 months after 10 years’ service
  • Superannuation: 9.5% employer contributions 11.5% for female staff.
  • Parental Leave: 52 weeks leave including 22 weeks paid parental leave or 3 weeks paid parental leave non-primary carer.
