We are a tight-knit team, committed to the values of unionism and passionate about campaigning for a better future. We are looking for an Office Manager to join us, run our office and support our campaigners while they do their thing.

Position Description

The UnionsACT Office Manager manages all internal office processes, coordinates office and administrative services, provides the UnionsACT secretariat, and supports the campaign team. This role is a key role that ensures the effective, impactful and safe operations of UnionsACT. Duties may vary depending on the operational needs of UnionsACT, but will not vary outside reasonable expectations.

Duties and Responsibilities

The Office Manager’s duties include, but are not limited to:


  • Proactively coordinate and manage all administrative activities for UnionsACT.
  • Manage, under direction from the Secretary and according to relevant policies, the TLC Office Budget, ensuring appropriate monitoring.
  • Administer UnionsACT’s office registers, processes and systems including IT systems; maintain office including coordinating reception, petty cash, reimbursements, mail and travel bookings for staff.
  • Liaise with and manage external stakeholders, including body corporates, banks, contractors, suppliers and vendors, and manage service and supplier contracts.
  • Assist staff in securing quotes and ordering merchandise, signs, documents and promotional material.
  • Assist relevant staff in preparing the annual budget, in consultation with the Secretary and Finance Officer.
  • Manage the maintenance of the office, office equipment and facilities.
  • Participate as needed in special projects and activities.

Secretarial Support

  • Organise all internal meetings and provide secretariat support during meetings. Support external meetings as required.
  • Provide administration support for document preparation, collation and reporting.
  • Manage all UnionsACT’s archives and records.

Human Resources

  • Coordinate and administer, with delegated authority from the Secretary, payroll, staff leave and leave calendar in line with UnionsACT Policies.
  • Conduct inductions for all new staff in line with the UnionsACT Policies.
  • Ensure that WH&S legislation is adhered to. Seek to create a healthy and safe workplace.
  • Directly support, resource and assist other team members to assist them in fulfilling UnionsACT’s objectives.

Selection Criteria

Successful candidates for this position will have:

  • Demonstrated commitment to the values of unionism and solidarity.
  • Proven administration experience, demonstrating organisation and planning skills, efficiency, accuracy and attention to detail.
  • Demonstrated capacity to develop and improve administration systems, processes and procedures.
  • Demonstrated computer literacy and ability to become familiar with new software, and databases (Xero, Google Apps, MS Office, eWay, etc).
  • Excellent stakeholder management skills, and a willingness to work cooperatively with internal and external stakeholders to achieve UnionsACT’s objectives.
  • Is proactive about identifying and solving issues, challenges and problems.
  • A capacity to work independently and as part of a tight-knit team.


  • Salary range $58,524 - $70,826 (based on experience)
  • 14.5% superannuation
  • This position is permanent, full time, ongoing, subject to 6 months’ probation
  • 17.5% annual leave loading
  • Work hours will include some after-hours work.
