About the role:

The Receptionist will be responsible for answering incoming calls, directing calls to appropriate staff, mail distribution and providing additional administrative support. The Receptionist is the first point of contact for the Union, which requires a positive attitude and polished, professional appearance. This position will multitask a variety of front office activities. Responsibilities will include, but are not limited to, the following;

  • Management of reception including phone, email, and assisting visitors, members and internal staff, including COVID-19 infection control process adherence;
  • Ensuring clean and tidy reception area, boardroom, meetings rooms;
  • General administrative duties including meeting room bookings, domestic travel bookings, booking couriers, ordering stationery, kitchen and cleaning supplies.
  • Assisting with day-to-day office administration (typing, filing, photocopying, printing, scanning and archiving;
  • All mail and post
  • Provide general PA support

Requirements:

  • Professional standard of personal presentation;
  • Solid communication and interpersonal skills;
  • Proven capability to work autonomously as well as within a team;
  • Digital competence, with reasonable understanding of Microsoft Office programs (e.g. Outlook, Word, Excel, etc.
  • Take initiative, pro-active approach with a positive friendly disposition and a can-do attitude.

This is a full-time position. Standard office hours are Monday – Friday 8:30am – 5:00pm. This position is based at the HSU office in CBD Sydney.

Please note a current First Aid Certificate is required for this role.

Remuneration up to $66,591 per annum plus superannuation and other generous benefits.

About the role:
Due to the recent restructure in Membership Administration Division, the Health Services Union is seeking a CRM Administrator. This role is responsible for the support, configuration and continuous improvement of the Membership CRM System and supporting processes. The person will champion the effective use of the CRM across the organisation, train staff to ensure the CRM is understood by new and existing users; and help the system to grow and evolve, informed by user feedback and data analytics.

Responsibilities / Accountabilities:
• Provide day to day CRM administrative user support to HSU staff
• Assist with the design and configuration of system functionality
• Undertake testing of reports, customisations and configurations in the CRM
• Advise users of existing system functionality that will generate business efficiencies
• User maintenance (activations, setup, permissions and deactivations)
• Create reports and dashboards for users and management
• Ongoing documentation of team administrative processes
• Ensure data integrity by monitoring changes and engaging with business owners to help drive corrective action
• Using exception reports and continually monitor the accuracy of data
• Assist with bulk imports of data to ensure information completeness and integrity
• Assist in the development and maintenance of end-user training and support materials as well as conduct training sessions as needed
• Assist with Projects where applicable

This is a full-time position. Standard office hours are Monday – Friday 8:30am – 5:00pm. This position is based at the HSU office in CBD Sydney. Remuneration up to $85,000 per annum plus superannuation and other generous benefits.

About the role:
Due to the recent restructure in Membership Administration Division, the Health Services Union is seeking Membership Support Lead.
The Membership Support Lead is responsible for carrying out out a variety of membership administrative functions, namely providing support to the membership system and ensuring policies and procedures are followed.

Responsibilities / Accountabilities:
• Support and assist the Membership Administration Divisional Manager
• Implement office policies and strategy improvements to existing processes
• Manage membership information in the CRM database by ensuring the highest data integrity of all finance and membership data
• Ensure data entry of new members is checked and accurate
• Provide reports, which may be complex in nature, to Management, Organiser’s and other staff as required in relation to the membership database
• Provide training and support to the membership staff, especially with regards to the membership system
• Improve operations and workflows within the team
• Deal promptly with relevant correspondence and enquiries and assist in directing incoming correspondence from a variety of sources to relevant departments
• Assist with the efficient and effective administration to support to the membership team
• Assist the team with member applications, waivers, refunds, resignations and finance related tasks
• Assist with the distribution of calls in the HSU information inbox
• Communicate courteously with staff offering support when requested
• Maintain up to date guidelines and procedures
• Assist in the coordination of specific Union events
• Assist in the onboarding and training of staff in the membership administration department

This position ensures the administration and membership services are delivered in a consistent high standard. The role will lead and supervise a professional team of nine staff that proactively meets the customer service and administration objectives of HSU’s members in a positive, modern, professional, courteous, receptive and efficient manner.

Responsibilities / Accountabilities:
• Manage the Membership Administration Department to ensure workloads are maintained within the department.
• Provision of monthly reports to the CFO and HSU Secretary including membership trends, and customer services and administrative metrics.
• Review, identify and make recommendation for continuous improvement of systems and process.
• Anticipate issues with may confront HSU membership that need proactive customer service.
• Assist with collating information for compliance with the legislative and regulatory
requirement of HSU reporting obligation to all third parties
• Facilitate and lead the membership administration team initiatives and strategic projects.
• Provide reports to elected Union officials in relation to the membership database.
• Improve operations and workflows that impact other divisions of the union.
• Maintain key external strategic business relationships.
• Oversee all daily administrative operations.
• Pursue business development opportunities
• Liaise directly with members to resolve disputes.
• Assist in the coordination of specific Union events

This is a full-time position. Standard office hours are Monday – Friday 8:30am – 5:00pm. Due to the nature of the role, some after-hours work including evenings and weekends will be occasionally required. This position is based at the HSU office in CBD Sydney

Member Support and Governance Officer

The Collieries’ Staff and Officials Association is a Division of Professionals Australia, a union which represents Staff employed in the coal mining industry.  We aim to make a positive difference to our members’ working lives.

The Association is looking for a Member Support and Governance Officer to work directly with the Committee, the Director, and the industrial and organising team.  Part executive assistant, part time office manager, this role assists a busy small team.  You will support membership and communications functions within the Association.
