Unions NSW is looking for a Full Time Receptionist/Administrative Assistant join our Administration team. The Receptionist position is a pivotal member of the organisation as the first point of contact for anyone visiting the office or contacting the organisation. They are required to display a high level of professionalism, while interacting with the internal and external community and when dealing with confidential and sensitive issues. The Receptionist also assists with events, room management and fielding enquiries.


  • Greet and welcome guests with a positive, helpful attitude as soon as they arrive at the office
  • Manage a switchboard and provide reception services as required
  • Manage all incoming / outgoing mail, couriers etc
  • Answer, screen and forward incoming phone calls to appropriate persons
  • Manage and maintain all room bookings, coordinating with the guest, IT, Finance and Building Management where necessary
  • Assist the guest to the appropriate person, office or meeting rooms
  • Ensure all meeting rooms are kept tidy, presentable and with all necessary equipment/information
  • Ensure reception and office area is tidy and presentable
  • Organise catering as required
  • Ordering office supplies and keep inventory of stock, such as stationery, kitchen supplies, and amenities
  • Coordinate events as necessary, including supervision of set-up of tables/catering
  • Assist Executive Assistant and Office Manager with adhoc tasks
  • Assist with administrative work overflows in relation to general office administration such as photo-copying, binding, data entry and word-processing

Essential Criteria:

  • Proven work experience as a Receptionist, Front Office Representative or similar role
  • Proficiency in Microsoft Office 365 – Word, Excel, Powerpoint, Teams, Outlook
  • Professional attitude and appearance
  • Solid written and verbal communication skills
  • Ability to be resourceful and proactive when issues arise
  • Excellent organisational skills
  • Multitasking and time-management skills, with the ability to prioritise tasks
  • Excellent Customer service
  • High School Certificate; additional certification in Administration is a plus

Conditions and Entitlements

An attractive remuneration package will be offered to the successful applicant, which includes:

  • Personal Leave: 10 days per annum (accumulative).
  • Annual Leave: 5 weeks annual leave plus additional leave over Christmas with 17.5% leave loading.
  • Long Service Leave: 2 months after 10 years’ service.
  • Domestic Violence Leave
  • Superannuation guarantee (SG) employer contribution plus an additional 2% extra for female staff.
  • Parental Leave: 52 weeks leave including 22 weeks paid parental leave or 3 weeks paid parental leave non-primary carer.

Salary will be commensurate with demonstrated skills and experience of the successful candidate.
